Success Stories

"We were able to convert approximately 80% of bid and proposal paperwork into online transactions, significantly cutting costs and saving time. We now have a streamlined bidding process that provides tighter quality control and an easier vendor communications medium."

"We are very happy with having eBid Systems host the solution. No significant downtime, support has been quick and helpful, and it is good for us to have one less piece of software to maintain."

Implementation

Because eBid eXchange is Software as a Service (SaaS), there is no software to install so that you can be up and running in as little as a few days without taxing your existing information technology resources. A web browser is all you need as your gateway to eBid eXchange. We understand that implementing a new procurement process is a big step. You can count on us to be available on line, on the phone, or in person to make sure that you have a successful launch.

Setup measured in days not weeks

A typical implementation process will include the following steps:

  • Through a questionnaire and telephone conversation, we will define what optional features you plan to use, user interface desires, and custom field requirements.

  • Based on your input, we will configure your website and make it available for your final acceptance testing.

  • We will make any final modifications you desire, conduct a one-to two-hour online training session, and you are ready to go!

From the time we receive your input to our setup questionnaire, we will typically have your website ready to go the next business day.

Importing existing vendor and transaction data

We can help you quickly populate your system with vendor data, either by having your vendors create a new profile at your supplier portal or by directly importing vendor data from your database.

We will import your vendor and transaction data so you won't interrupt ongoing procurement activities or lose valuable information.

If you suspect that your existing vendor database is out-of-date, we recommend using an email blast, supplemented by fax or regular mail announcement, to direct your vendors to the new eBid eXchange website. This will ensure that their data is current and allows you to capture additional information about them at your supplier portal. We can help send the email announcement and process bounced email messages.

If you have a large vendor database that has related sourcing and contract data, we can do a direct import of your data into our database. We have experience working with many different databases and file types. Additionally, we can work with your internal information technology staff if they have the capability to export and cleanse your vendor data.

Regardless of the optional you choose to populate your vendor database, we will ensure that your procurement staff won’t lose valuable time in implementing eBid eXchange.
